We are Vin International FZCO, looking for an experienced ADMIN ASSISTANT CUM RECEPTIONIST for our Dubai Silicon Oasis office.
JOB DESCRIPTION & RESPONSIBILITIES:
Your work area and responsibilities will be as follows:
• Reception desk handling
• Manage the telephone and email inquiries;
• Day to Day operations of the office
• Filing office documents
• Maintain office expense ledger (in google or spreadsheet)
• Scheduling meetings, creating agendas and taking minutes;
• Keeping diaries and scheduling appointments;
• Using variety of software packages, such as MS Word, Outlook, Power point, Excel, Access, etc. to produce correspondence and documents and to maintain presentations, records, spreadsheets and databases;
• Prepare, Maintain and Follow up of invoices, bills, receipts and other payment vouchers
• Liaising with staff in other departments and with external contacts;
• Ordering and maintaining stationery and equipment;
• Maintaining proper Asset register
• Recruiting, training and supervising junior staff and delegating work as required;
• Maintain employee records (soft and hard copies);
• Update HR databases (e.g. new hires, separations, vacation and sick leaves);
• Payroll preparation by providing relevant data, like absences, bonus and leaves;
• Prepare paperwork for HR policies and procedures;
• Process employees’ requests and provide relevant information;
• Collaborate with the Recruiter to post job ads on careers pages and process incoming resumes;
• Provide orientations for new employees by sharing onboarding packages and explaining company policies;
• Arranging in-house or external events;
• Any other tasks given by the Management should also be carried out accordingly
We required
• Excellent communication skills
• Should be a graduate
• Minimum 2 years experience in same role in Dubai
